How to Request Account Deletion
For Parents / Families
Email support@gofathom.app with the subject line “Account Deletion Request” or use the Delete Account button from within the My Profile section of the mobile app.
Include your registered email address and the names of all players in your family account
We may ask for additional verification to confirm your identity
Account deletion requests are processed within 7 business days
For Coaches
Contact your organisation administrator first, as coach accounts are managed at the organisational level
If needed, email team@gofathom.app with your request
Important: deleting your coach account does not delete any feedback posts or content you have created
For Parent / Family Account Deletion
Immediate Actions (Within 7 Days):
Your account and all player profiles are marked as deleted in our system
All data becomes immediately invisible to coaches, organisations, and other users
You can no longer access the platform or receive notifications
Your data is removed from all active feeds and searches
Data Retention
Following deletion, your personally identifiable data is retained for 6 months. This window exists to allow you to recover your account and access your coaching timeline should you or your family wish to rejoin GoFathom.
After 6 months, all personal data is irreversibly anonymised at the database level. Once anonymised, the data is no longer personal data under UK GDPR. At this point:
Player and family names are replaced with generic identifiers (e.g. “Player A”, “Family B”)
Right to Erasure provisions no longer apply, as no personal data remains
Any aggregate or anonymised records are retained solely for safeguarding audit capability and service improvement
Where a Right to Erasure request is received before the 6-month window closes, GoFathom will action this within 30 days in line with Article 17 UK GDPR.
Safeguarding Records
Any records relating to a safeguarding concern are handled outside the standard deletion lifecycle entirely. These records carry distinct retention obligations under UK child protection guidance and are not subject to the 6-month anonymisation process. Access to such records is restricted to authorised GoFathom administrators for legitimate safeguarding purposes only.
For Coach Account Deletion
What gets deleted:
Your coach profile and login access
Your ability to create new posts or feedback
Your administrative access to groups and organisations
What remains:
All feedback posts and content you created remain on player feeds
Bowling session records you logged stay intact
Your name remains visible as the author of existing content, preserving the attribution and credibility of coaching feedback
Coaching content remains because feedback posted to a player’s feed belongs to the family, not the coach. It forms part of the player’s development record and removing it would damage the continuity and integrity of that record.
Data Anonymisation
After 6 months (deleted family accounts only):
Player and family names are anonymised and replaced with generic identifiers
Content of posts and feedback is preserved in anonymised form
Dates, coaching observations, and session records are retained in anonymised form
Coach names on existing posts are not anonymised, as parents retain the right to see who provided each piece of feedback.
Data Ownership
Parents and families own all content on their child’s feed
Coaches contribute to the feed but do not own the content
Feedback posts belong to the receiving family
Bowling session records belong to the player’s development history
Administrative data (group management etc.) is organisational data
Your Rights
Under UK GDPR you have the following rights in relation to your personal data:
Right to be informed about how your data is processed
Right of access to request what data we hold (before deletion)
Right to rectification of incorrect data (before deletion)
Right to erasure — please refer to the Data Retention section above
Right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk

Family Accounts
If one parent requests deletion, it affects the entire family account
All children’s profiles and data will be deleted
Both parents should agree to account deletion before a request is submitted
Coach Departures
When coaches leave organisations, their historical contributions remain part of the player record
Player development records stay complete and uninterrupted
New coaches can see the full history of player feedback
Organisational Records
Some anonymised statistical data may be retained for legitimate organisational reporting
This includes aggregate data such as “number of players coached” and contains no personal identifiers
Changes to This Policy
